Privacy Policy

The Crew Dock ("we," "us," or "our") provides crew paperwork and payment records for yacht day workers and freelance crew. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using The Crew Dock, you agree to the practices described here.

Information We Collect

We collect information needed to operate the platform and support vessel operations, including:

• Account information — name, mobile phone number, email address, role, and the vessel or management company you are associated with.
• Crew profile information — photo, a short bio you choose to share with charter guests, mailing address, business name (if you work through a company), emergency contacts, position, and onboarding documents you submit (such as a W-9 and an independent-contractor declaration).
• Tax and payment information — W-9 details, Social Security or tax ID number, and Zelle pay-to details provided during onboarding, handled as sensitive data.
• Electronic signature records — when you sign the independent-contractor declaration or a rate agreement online: your typed or drawn signature, printed name, the date and time, and your device's IP address and browser.
• Operational records — timecards, expenses and receipt photos, charter assignments and your answers to bookings, invoices (including invoices you send with Invoice Any Boat and the boats you bill), maintenance reports and comments, and payment records.
• Account sign-up — when an owner starts a free trial: your name, email address, mobile phone number and password (stored only as a one-way hash), your billing company's legal name and US mailing address, a fleet name, and your first vessel and the company that owns it. When crew sign up free: your name, mobile phone number and email address. In both cases, a record that you accepted our Terms of Service, with the date and time and your device's IP address and browser.
• Billing — card payments are handled by Stripe. Your card details go to Stripe, and we never see or store your full card number; we keep your Stripe customer and subscription references, your plan status and your invoice history.
• Notifications — if you turn on phone or browser notifications, the push address your browser gives us for that device, so we can send them.
• Usage information — log data, device and browser information, and activity within the platform.

How We Use Information

We use the information we collect to operate, maintain, and improve the platform; to process crew submissions and route approvals; to maintain an accurate operational record for vessels; to communicate with you; and to comply with legal and tax obligations.

How We Share Information

Crew submissions are visible to the authorized captains, owners, and managers of the associated vessel or management company. Invoices you send with Invoice Any Boat go to the billing email you enter and are private to you: no captain, owner or fleet on The Crew Dock can see them. We do not sell personal information. We may share information with service providers who help us operate the platform (such as Stripe for card payments and Cloudflare for security checks), and when required by law or to protect rights and safety.

Cookies and Analytics

We use a session cookie to keep you signed in and, if you choose “Remember this device,” a cookie that keeps you signed in on that device for 30 days from your last visit, and never more than 180 days.

Our public pages (such as the home, pricing, and sign-up pages) use Google Analytics to count visits and understand how people find and use the site. Google Analytics sets cookies and collects information such as the pages you view, how you arrived, your general location, and your device and browser type. It does not receive your name, email, or anything you enter in a form, and it does not run on the signed-in crew and admin pages. Google processes this data under its own privacy policy, and you can opt out with the Google Analytics opt-out browser add-on. We don't use advertising cookies.

Our sign-in, password, and sign-up forms (the owner free trial and the free crew sign-up) use Cloudflare Turnstile, a security check that helps tell people from automated bots. It looks at information about your browser and device when you use those forms, under Cloudflare's privacy policy.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain information for as long as needed to provide the platform, maintain operational and tax records, resolve disputes, and meet legal obligations.

Your Choices

You may request access to, correction of, or deletion of your personal information, subject to legal and operational record-keeping requirements. To make a request, contact us using the details below. Crew can also ask for a copy of their records with Request My Data on My Profile. A fleet's Owner can export the fleet's data and close the account on Data & Account; a closing fleet stays read only for 30 days so it can be exported, then access ends. Crew keep their own sign-in and records.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the "Last updated" date above.
